Fulfillment Operations Manager
Lead the team. Build better processes. Help get medical devices to patients who need them. Join Impilo as our Fulfillment Operations Manager and shape how a growing healthcare startup operates.
About Impilo
Impilo is the logistics engine behind remote patient care. We procure, kit, provision, ship, and refurbish the connected medical devices that healthcare organizations send to patients at home: blood pressure monitors, smartwatches, tablets, hub kits, and more.
We're a growing startup, not a legacy distribution center. Our processes are young and improving fast. We've made a real investment in quality and operational excellence, and now we need someone on the floor who can keep that momentum going and lead the team that makes it real.
The Role
You'll run day-to-day warehouse operations across receiving, kitting, shipping, and returns/refurbishment. You'll lead and coach the team, own shift plans and daily targets, and keep finding better ways to work. This role is for a builder: someone who sees a process that doesn't exist yet, or one that's held together with tape, and gets excited instead of frustrated.
What You'll Do
• Lead the team. Lead, coach, and develop warehouse associates and shift leads. Run daily huddles, set clear expectations, give real-time feedback, and grow people into bigger roles.
• Own shifts and targets. Build and run shift schedules against our labor model. Match staffing to forecast volume across receiving, kitting, shipping, and RMA/refurb, and hit throughput, accuracy, and on-time targets every day.
• Drive process improvement. Use Lean and Six Sigma tools (root cause analysis, time studies, standard work, 5S) to cut errors, rework, and wasted motion. Turn findings into updated SOPs and training.
• Partner on quality and compliance. Protect our quality record in a regulated environment (FDA-registered, ISO 13485, HIPAA). Partner with Quality on complaints, CAPAs, PHI incident prevention, quarantine and decommission workflows, and audit readiness.
• Measure what matters. Define, track, and report the KPIs that matter: units per labor hour, order accuracy, dock-to-stock, on-time ship, refurb yield, and complaint rate. Share them openly with the team.
• Help build what's next. Act as the floor's voice in our WMS migration, new kit launches, device provisioning programs, and layout or racking changes. Pilot new workflows, time them, and scale what works.
• Build capability. Own training for your team, from onboarding new associates to cross-training them so we can flex across workstreams when volume shifts.
What You Bring
• 4+ years in warehouse, fulfillment, or distribution operations, including at least 2 years leading teams and running shifts.
• A track record of improving a process and proving it with data, not just running one that already existed.
• A coaching mindset. People want to work for you, and your team gets better because you lead it.
• Comfort with ambiguity and change. You can set priorities without a 200-page playbook, and you write the playbook as you go.
• Strong with data. You're comfortable in Excel or Google Sheets and with WMS reports, and you can build a simple model to make a case.
• Clear written communication. You can write an SOP someone can actually follow.
Nice to Have
• Experience in medical device, healthcare, pharma, or other regulated environments (ISO 13485, FDA QSR/cGMP, HIPAA, GDP).
• Kitting, light assembly, or returns/refurbishment experience.
• Experience with a WMS implementation or migration.
• Startup or high-growth experience: you've helped scale an operation, not just maintain one.
Who Thrives Here
You'd rather fix a broken process than work around it. You're on the floor, not behind a desk. You measure before you change things and after. You treat a complaint as a signal, not a nuisance. You want to build the operation, and you're energized, not overwhelmed, by how much there is to build.
